Closing an Account stops future access but does not automatically reverse an earlier completed transaction. Unused generation credits ordinarily cease to be usable following voluntary closure, subject to available goodwill refunds, non-delivery, defective digital content and all mandatory consumer rights.

1. Scope & interpretation

1.1 This Cancellation Policy governs voluntary Account closure, withdrawal from eligible digital-content contracts, suspension and termination of ongoing Picwave access. It applies to users of the website, purchases of ready-made Digital Images, generation-credit balances and files produced using the Generate Module.

1.2 It is issued by WERVIX LTD trading as Picwave and should be read with the Terms & Conditions, Refund Policy, Payment Policy and Digital Product Fulfilment Policy. Cancellation of an Account is a separate action from cancellation of a specific Order or a claim for a refund.

1.3 Where a UK consumer has statutory cancellation, digital-content conformity or payment rights, those rights prevail over an inconsistent operational account rule. Words such as final, expired and forfeited do not of themselves extinguish a right created by mandatory law.

2. Nature of the Service & purchases

2.1 Picwave offers a catalogue of AI-generated Digital Images for individual purchase and prepaid packs of Generation Credits for account-based prompt-to-image creation. Each successful generation ordinarily consumes one paid Credit. Digital Products are delivered electronically, and no physical return or shipment occurs.

2.2 A purchased credit pack is a one-off purchase and does not renew each month or create a standing instruction to charge the customer again. There is therefore no periodic subscription fee to cancel in the current model. Voluntary Account closure and cancellation of an already completed Order follow different rules.

2.3 Digital Images may be accessible by link or Account order history. Before closing an Account, customers should preserve legitimately purchased downloadable files and relevant receipts, because convenience access to historical records may cease when the user profile is deactivated.

3. Ways a user may cancel / close an account

3.1 A user may request voluntary closure through an available account-deletion function or by emailing info@pic-wave.com from the Account email address with subject Account Closure Request. Include the profile identifier and an unambiguous instruction to close the Account.

3.2 Where no self-service closure control is present, email remains a valid route. We may ask for reasonable identity verification to avoid an attacker deleting another person’s Account; such checks do not justify seeking a password, full payment-card number or needless identification documents.

3.3 A separate Order withdrawal or refund request should be identified specifically, with an Order number and the statutory or goodwill basis. An instruction to close the Account does not automatically constitute a clearly communicated withdrawal from every prior digital-content contract.

4. Effective time of a user cancellation

4.1 Where a functioning self-service closure route is offered, closure ordinarily takes effect once the user confirms the irreversible action, subject to reasonable account-security verification. When requested by email, we normally process a verified closure within five business days and confirm completion to the registered address.

4.2 Until closure is completed, the user may be able to access account history and remaining Generation Credits. Once the Account is closed, future authentication and new generation requests are disabled, although data that must lawfully be retained can remain in restricted records.

4.3 A statutory cancellation notice relating to a qualifying Order takes effect under the applicable legal rules and need not wait for account closure. We will not allow an internal closure queue to consume a valid statutory withdrawal deadline.

5. Consequences of voluntary closure

5.1 Closing an Account disables new purchases through that profile, ends access to the Generate Module under that login and may make existing download-history links inaccessible. Customers should use authorised download facilities before requesting closure, where the product remains lawfully accessible.

5.2 Unused Generation Credits ordinarily become unusable on final voluntary closure because they are personal service entitlements rather than cash. Before effecting closure, a customer should review whether an entirely unused purchase falls within the Refund Policy goodwill window or whether another non-excludable remedy is available.

5.3 The customer remains entitled to receipts, statutory rights and appropriate handling of personal-data requests. Closure does not entitle us to retain private prompts indefinitely; the Privacy Policy governs retention, deletion, necessary accounting and documented legal holds.

6. No automatic refund on cancellation

6.1 A voluntary decision to stop using the Service is not, in itself, evidence that an earlier delivered Digital Image was defective or that a completed Generation Credit purchase must be reversed. The refund conditions for individual Orders are set out in the Refund Policy.

6.2 A fully unused Credit pack purchased within the preceding 14 calendar days may qualify for a voluntary refund review, separately from statutory cancellation rights. For an image that is faulty, unavailable or materially misdescribed, consumer conformity remedies remain available regardless of voluntary Account closure.

6.3 We do not impose automatic conversion of unused credits to vouchers as the sole remedy where money reimbursement is required by law. Customers with an unresolved refund claim should identify it in the closure request so the entitlement can be properly assessed before the ledger is finalised.

7. Company-initiated suspension / restriction / termination

7.1 We may suspend or restrict an Account when reasonably needed to prevent unauthorised access, fraudulent payment activity, unlawful prompt submissions, security interference or other serious breaches of the Acceptable Use Policy. Urgent protective action may occur before notice where delay would cause material harm.

7.2 Where feasible, we explain the action, grounds and an available route for review. A warning or temporary restriction is generally preferred where risks are low and can be corrected; significant repeat misconduct, criminal activity or security threats may justify termination.

7.3 Termination does not cancel an established obligation to remedy defective digital content, correct a duplicate payment, process a valid refund or comply with data-protection rights. We will assess the treatment of paid and undelivered credits in accordance with the law and the Refund Policy.

8. Effect of fraud / abuse / disputes on cancellation

8.1 An unresolved chargeback or credible account compromise may require temporary preservation of a limited set of transaction and audit records before profile deletion. Such retention is restricted to a justified purpose and does not mean the user is presumed guilty of wrongdoing.

8.2 We may revoke unlawfully acquired credits or restrict a contested purchase while a genuine fraud investigation is active. Measures must be proportionate to evidence and must not prevent a cardholder from pursuing statutory rights or a legitimate chargeback.

8.3 Where an investigation finds no wrongdoing, we will restore eligible access or provide an appropriate remedy if the account has been permanently closed. A customer may ask support to explain the restriction and the evidence that can be shared lawfully.

9. Treatment of virtual currency / items / digital entitlements

9.1 Generation Credits are non-transferable rights to request AI image generation and do not represent legal tender, deposits, cryptocurrency or e-money. A customer cannot assign unused credits to another person, sell them independently or demand a cash exchange merely because the Account is closing.

9.2 Refunding a credit purchase causes corresponding unspent credits to be cancelled or reversed in the ledger. If a generation failed through a verified platform error, the deducted credit should ordinarily be restored or resolved under the relevant statutory or contractual remedy.

9.3 A legitimately downloaded Digital Image remains subject to the scope of its licence, except where a lawful refund or licence termination changes rights. Cancellation of the login does not retroactively create exclusive ownership of an AI output or grant additional rights in third-party materials.

Senaryo

Effect on account

Geri ödeme pozisyonu

Notlar

Voluntary closure

Future login and generation access ends

No automatic refund; assess unused-pack goodwill

Request review before closure

Unused pack within 14 days

Credits can be reversed if refunded

Goodwill review ordinarily available

Full unused balance must be verified

Faulty supplied image

Account can close independently

Statutory conformity remedy preserved

Provide order and defect evidence

Chargeback pending

Contested entitlement may be held

Bank/scheme process controls dispute

Preserve limited payment evidence

Fraud/security hold

Proportionate access restriction

Legally due refunds unaffected

Review available through support

Service retired

Paid outstanding credits assessed

Substitute or appropriate refund

Consumer rights retained

10. Guest access / dormant / inactivity

10.1 Visitors may browse public catalogue listings without an Account, but balance-based generation requires an authenticated Account. If guest checkout is available for specific Digital Images, the order may be associated with a guest email and order reference for delivery and statutory rights.

10.2 Prolonged inactivity alone should not silently reduce purchased balances without reasonable prior information and a lawful contractual basis. Before adopting a dormancy policy that materially affects paid credits, we will notify affected customers and consider proportionate alternatives.

10.3 Security controls may require re-authentication or password reset for long-unused profiles. Such measures protect the Account; they are not equivalent to cancellation of a purchase or forfeiture of legally protected remedies.

11. Age restrictions and protected users

11.1 Picwave is intended for adults aged 18 or over; minors must not create an Account, buy Generation Credits or independently submit prompts. The restriction helps address contractual capacity, cardholder authority, image safety and safeguarding obligations.

11.2 A parent or guardian who identifies a minor’s Account or payment should contact info@pic-wave.com and, where appropriate, the card issuer. We will review the order, access and account state without treating the Age rule as a reason to deny mandatory refund or payment protections.

11.3 Any processing of a child’s submitted personal information is assessed under the Privacy Policy. We may restrict or close the Account to protect the individual, preserve only legally necessary records and provide a suitable remedy for affected digital purchases.

12. Deletion of personal data vs closure of access

12.1 Account closure ends the ability to use a login, whereas personal-data erasure is governed by UK GDPR, the Data Protection Act 2018 and the Privacy Policy. A person may ask to exercise data rights independently of closing a paid Account.

12.2 Certain order, accounting, fraud and dispute records may remain after closure where a legal obligation or defensible claim requires them. We minimise retained details, restrict access and apply retention schedules rather than continuing ordinary customer profiling.

12.3 A request to erase AI prompts, reference imagery or generated history will be assessed in accordance with the relevant legal basis, backup cycle and any specific investigation hold. We will explain permitted limitations and the available appeal or regulatory complaint route.

13. Service retirement / major changes / sunset

13.1 If we discontinue a product, generation model or material part of the Service, we will give reasonable advance information where practicable and arrange continued access, a proportionate substitute or an appropriate refund for an affected outstanding paid entitlement.

13.2 An event such as a processor outage, hosting migration or change of AI model does not by itself authorise confiscation of purchased credits. Customers should be informed of the expected effect on balance use, downloads and pending Orders whenever material.

13.3 Where a legal or security emergency requires immediate restriction, we will preserve appropriate records and communicate alternatives when lawful. Consumers retain rights to remedies for non-supply or non-conforming digital content irrespective of the cause of an orderly service shutdown.

14. Cooling-off & mandatory consumer rights

14.1 For qualifying online purchases, UK Consumer Contracts Regulations may provide a 14-day cancellation right. In the case of digital content not supplied on a tangible medium, the right may be lost once supply begins only after legally sufficient express consent, advance acknowledgement and required confirmation.

14.2 A customer whose statutory right remains available can send a clear cancellation statement by email identifying the Order and the intention to withdraw. The law determines whether reimbursement is due and its deadline, ordinarily within 14 days after valid cancellation. We do not require a particular template.

14.3 Separately, the Consumer Rights Act 2015 protects consumers when digital content is defective, misdescribed or not as legally required. Those conformity remedies, and any stronger non-excludable rights of another applicable jurisdiction, are preserved despite account closure.

14.4 A pack of prepaid generation credits may constitute an ongoing digital service entitlement. Simply allocating a balance does not itself establish that an immediately supplied digital file has been consumed or that the customer has lost a statutory withdrawal right; legal classification and start-of-performance conditions must be assessed independently.

15. Reopening / restoration / new accounts

15.1 A closed Account is not guaranteed to be restorable, particularly where credentials and user history have been deleted. Where practicable and lawful, support may assist a customer who closed an Account in error, subject to identity verification and the status of outstanding Orders.

15.2 Remaining credits that ordinarily ceased to be usable on valid voluntary closure are not automatically recreated in a new profile. This rule does not prevent correction of a platform error, reinstatement required by law or an approved refund of the relevant purchase.

15.3 Creating a new Account to evade a security restriction, banned prompt category or chargeback investigation is prohibited. A good-faith request for review is preferred to circumvention and will be considered on its individual facts.

16. Communications & support

16.1 We send important closure and refund communications to the Account email address, so users should keep that address accessible during the review. We may send separate notifications about account security, pending financial adjustments or legal retention after closure.

16.2 Support is reached at info@pic-wave.com or https://pic-wave.com/contact-us/. Quote the Account email, date of request and relevant Orders, but avoid posting payment credentials or access tokens in unencrypted correspondence.

16.3 Ordinary refund requests are acknowledged within two business days, with a substantive decision usually within seven business days after complete information. Verified email closure requests are normally processed within five business days unless a lawfully necessary security check changes that schedule.

17. Changes

17.1 We may update this Cancellation Policy as account features, credit handling and applicable laws change. The current effective date and version appear at the beginning of this document; material prospective changes will be notified through an appropriate website or account channel.

17.2 An updated rule does not retrospectively remove mandatory cancellation rights, acquired refund claims or credits already paid for without a lawful basis. Changes that materially affect existing credit balances require separate fair treatment and, where appropriate, explicit agreement or a remedy.

17.3 Our Terms & Conditions govern the continuing licence to Digital Images and Acceptable Use Policy governs restrictions imposed for abuse. Refunds remain governed by the Refund Policy and the statutory law applicable to the particular transaction.

18. Governing law & contact

18.1 This policy is governed by the law of England and Wales, subject to mandatory consumer protection and court-forum rules that apply to a particular purchaser. Nothing restricts lawful bank-card dispute procedures, regulatory complaints or access to a competent court.

18.2 The operator is WERVIX LTD, company number 17499009, 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ. Direct closure and cancellation notices to info@pic-wave.com and identify the affected account or order.

18.3 If a customer cannot access the Account to download an already paid Digital Image or lodge a refund complaint, contact the service desk. Loss of access caused by closure does not bar evaluation of an existing statutory claim.

Pratik Sonuçlar Matrisi

For a customer who simply wishes to stop using Picwave, account closure can be requested by email. Download any available purchased files first and check the credit balance. A one-off purchase does not create future periodic debits, so there is no ongoing subscription charge to stop.

For a customer with a wholly unused paid Credit pack less than 14 calendar days old, request a goodwill refund review before closure. The balance and purchase are reconciled, eligible credits reversed and approved payment returned to the original funding method.

For a customer alleging a faulty Digital Image, do not treat the closing of the Account as extinguishing the complaint. Preserve the Order reference and any technical evidence; assess repair, replacement, reduction or reimbursement under applicable consumer law.

For a valid statutory cancellation of digital content, examine the checkout record for express advance consent, acknowledgement and confirmation before treating withdrawal rights as ended. An ordinary support SLA never displaces the statutory reimbursement deadline.

Picwave | Cancellation Policy | v1.0 | Effective 8 October 2026.
